Attached to this circular are the following official schedules that should be used by schools in the WCED as from January 2008. Schools are welcome to use these schedules for 2007 if they wish.

A schedule is a quarterly record, completed four times a year at the end of each school term. It provides a summary of the progress of all the learners in a specific grade in a school. A schedule is required to authorise the progression, promotion or retention of a learner. The end-of-year schedule must be signed by the principal and a designated departmental official. Once the schedule has been signed by the principal and a departmental official, it constitutes a legal document.

End-of-term schedules will be completed for Grades R - 12 at the end of terms one to three. The end-of-year schedule for Grades R - 11 is a compilation of learner performance across all four school terms.

The end-of-year results of the Grade 9 learners will be based on CASS (75%) and the external Common Task for Assessment (25%). The Grade 9 schedule is also available on the Grade 9 data capturing CD for 2007.

No end-of-year schedule will be completed for Grade 12 learners, as they will write the external National Senior Certificate examination.

It is not necessary to print schedules for terms 1 to 3.

Printed end-of-year schedules must be held in safekeeping by the school throughout the school's existence and must be accessible to all relevant role-players. They may not be destroyed. It is advised that schools print the schedules on A3 paper.

Two printed copies with the approved and signed schedules for 2007 must be submitted to the circuit manager.

With effect from 2008, after the end-of-year schedules for all grades have been signed off, electronic copies should be e-mailed or a CD should be provided to EMIS for electronic storage.

Schools may use electronic versions of these schedules, provided that the same information is included (See paragraph 1). If electronic versions are stored, schools must ensure that the software always remains accessible. Electronic versions of these schedules are available from EMDC assessment co-ordinators, or they can be downloaded from the assessment website: http://curriculum.wcape.school.za/site/21/page/view

The first page of every schedule contains the instructions on how to complete the schedule.
