BRIEF SUMMARY:

Final opportunity for non-section 21 schools to order additional stationery, cleaning, gardening and electrical supplies online for use in 2019.

ONLINE ORDERING OF STATIONERY, CLEANING, GARDENING AND ELECTRICAL SUPPLIES IN THE 2018/19 FINANCIAL YEAR FOR ALL NON-SECTION 21 SCHOOLS

1. This minute should be read in conjunction with Circular 0017/2018, dated 04 April 2018.
2. From 30 July to 08 August 2018 all non-section 21 schools will have a final opportunity for the online ordering of stationery, cleaning, gardening and electrical supplies for use in 2019.
3. Guidelines will be provided on the Central Education Management Information System (CEMIS) to explain how additional stationery, cleaning, gardening and electrical supply needs should be captured and signed off.
4. The Western Cape Education Department (WCED) will place orders for the requested stationery, cleaning, gardening and electrical supplies on behalf of non-section 21 schools with the contracted supplier, as explained in the abovementioned circular.
5. Schools may only place online orders for the items listed in the attached catalogues.
6. Please note that the stationery contract does not provide for the supply and delivery of photocopy paper or printer cartridges. These items, as well as other items not listed in the catalogues, will be procured separately through quotations invited via the Integrated Procurement Solution (IPS). Schools must submit requisitions for items not listed in the catalogue on a WCED 026 form (copy attached) to the Learning and Teaching Support Material (LTSM) Office by no later than 08 August 2018 to ensure timeous delivery.
7. Schools will be required to use their norms and standards (N&S) funds for local purchases to cover all their stationery, cleaning, gardening and electrical supply needs. It is therefore very important that schools plan carefully how their N&S funds are managed to ensure that sufficient funds are available for their requirements. Confirmation of orders and the value thereof will be sent to schools as orders are processed, to assist schools in this regard.
8. Kindly bring the contents of this minute to the attention of all relevant officials.
