Schools will have the opportunity to make changes to the personal details of candidates on CEMIS, as they have done in Term 1. The functionality will be opened on CEMIS from Monday, 19 May 2014 to Friday, 13 June 2014 for these changes to be made. This will be the final opportunity for schools to make any changes and corrections to their NSC candidates’ personal details. Principals must verify and sign off their candidates’ registration details by Friday, 13 June 2014. |

Verification of candidates’ personal details: |
2.1.1 |
Check the spelling of the full names and surname. This should be the same as it appears on the candidate's identity document. |
2.1.2 |
The identity number of the candidate is a compulsory field. |
2.1.3 |
Check correctness of postal address. This address will be used for postage of correspondence and must be a reliable address where candidates will be able to receive mail delivery. |
2.1.4 |
The Department makes use of SMS services to inform candidates about changes in the examination process, therefore all Grade 12 learners must have a valid cellphone number captured on CEMIS. If a learner does not have a cell phone number, a cell phone contact number of an immediate relative should be submitted. |
2.1.5 |
A learner cell phone number report is available on CEMIS to view learners with or without cellphone numbers. Principals must ensure that the report is up to date and correct.
To locate the report please do the following:
Go to Reports, select Learners, select Learner cellphone numbers and click on the hyperlinked numbers for verification and updating.

How to make changes to candidates’ personal details on CEMIS: |
2.2.1 |
Log on to CEMIS to make a printout of each candidate’s details following the process below:
Click on the Report tab. Select Subject, then Subject per learner.
Select Grade12. Select all classes, and then Submit. Select Print All: Print landscape per learner.
Each candidate’s details will be printed on a separate page.

2.2.2 |
Hand out the forms to the candidates to verify their information. Candidates must do corrections on these pages. The printed form must be signed by the candidates and their parents/guardians and returned to the school. |
2.2.3 |
The CEMIS administrator must capture all corrections under the tab "Update learners" on CEMIS.

2.2.4 |
Copies of all the signed forms must be sent to the Department. The original forms must be retained at the school for the school's own records. The copies must be sent to:

Please take note that the school will not be permitted to make ANY subject changes on CEMIS. The school must submit any request for the correction of subject errors via an email to Moya.Combrink@westerncape.gov.za
Subject errors will only be corrected if the necessary supporting documentation, such as the Grade 11 report of the candidate, is provided with the email.

In the case where a candidate takes Music as a subject, the attached document, "Music candidates", must be completed. This document requires the surname, name and music instrument information of the NSC Grade 12 candidates. |

The information on CEMIS will be transferred to the Examinations Mainframe at the end of June and final schedules will be printed from the Examinations Mainframe and sent to schools for final sign off by no later than 21 July 2014. Please note that the names of repeater candidates who requested to write at your school will also be included in this final schedule. |

The principal must complete the sign off on CEMIS by no later than Friday, 13 June 2014 after their NSC candidates’ personal and subject details have been verified. Copies of the candidates’ signed print-outs and the Music candidates’ documents must reach the Department no later than Friday, 20 June 2014. |
