1. Completion of mark sheets
1.1 The computerised mark sheets for school-based assessments (SBAs) for all subjects, as well as the appropriate control lists, are enclosed. Principals are to ensure that they have received all the required mark sheets.
1.2 Please note that only one copy of each mark sheet is provided for completion. It is therefore vital that copies of the moderated mark sheets are made by the school and kept for record purposes.
1.3 Please ensure that the moderation schedules are completed and available to the curriculum advisers (CAs) on the day of moderation. Subject teachers must fill in only the unmoderated mark in the "Mark" column.
1.4 Only after final moderation of each subject, should moderated marks be transferred by the curriculum adviser to the “Mod” column on the SBA mark sheets.
1.5 Should your school receive the computerised SBA mark sheets only after the moderation process, the necessary arrangements must be made with the CA for the completion of the mark sheets.

2. Awarding of SBA marks

A mark must be awarded to each candidate whose examination number appears on the mark sheet.

This also applies to candidates who:

  • were expelled or temporarily suspended from school;
  • have applied for a change of centre;
  • were absent for a prolonged period during the year;
  • were absent on the day of moderation;
  • were registered for a subject at another school or centre e.g. art centre; and
  • are registered as repeaters/part-time candidates.

3. Marks outstanding (Candidates who were absent and those with no SBA marks)
3.1 Refer to Assessment Management Minute 0014/2009, dated 24 July 2009, for information regarding candidates who have not fully satisfied the requirements for SBA.
3.2 Where a valid reason is provided, the candidate must be offered another opportunity to complete the SBA task. If the candidate cannot present him or herself for a specific component of the SBA and the reason is acceptable, the candidate.s SBA mark is then calculated, based on the components completed. The maximum mark is then calculated, excluding the component for which the candidate has been exempted.

Example 1: Valid reason

SBA mark = (12 + 8 + 23)/75
= 43/75

This final percentage must be converted to a mark out of 100 as follows:

SBA mark = 43/75 x 100
= 57

This mark (57/100) will be recorded on the SBA schedule.

3.3 Where no valid reason is provided, the candidate is awarded a zero for that component of the SBA.

Example 2: No valid reason

SBA mark = (12 + 0 + 8 + 23 + 0)/100
= 43/100

This mark (43/100) will be recorded on the SBA schedule.

3.4 The following scenarios of mark sheets need to be emphasized with regard to the completing of the mark sheets (Annexure A):
3.4.1 Where a candidate completed no SBA components at all, but provided a valid reason for this, insert “999” on the mark sheet. Evidence of valid reason(s) must be provided to the CA at the moderation session and forwarded to the Directorate: Examinations Administration.

Implications of '999':

  • Candidate will receive an incomplete result, even if the other examination papers were written.
  • Candidate with '999' will be given 3 calendar months after the release of results to submit SBA marks. Failure to do so will result in the candidate having to repeat the entire subject.
3.4.2 Where the candidate completed no SBA components at all and no valid reason was provided, insert "444" on the mark sheet. Such a candidate will receive an incomplete result and must repeat the entire subject.
3.4.3 In the case of an approved subject change that is not reflected on the mark sheet, insert '888' in the 'Mark' column. Complete Annexure B in respect of each SBA component for the new subject.
3.4.4 Based on the above, no mark between "000" and "005" will be accepted.

4. Candidates with speech and/or hearing barriers

Candidates with speech and/or hearing barriers must, in lieu of the oral mark, receive a pro rata mark based on the marks they scored in their written work for the June and September 2012 examinations.


5. Responsibility of principals regarding completion of mark sheets

Principals must ensure that all National Senior Certificate candidates in their schools have been given the required SBA marks.


6. Return date

Assessment co-ordinators must ensure that the completed mark sheets reach the Directorate: Examination Administration by 5 November 2012.


7. SBA marks outstanding

Principals are requested not to refer candidates without SBA marks directly to the Department after the release of the results. The correct procedure for approaching the Department about SBA marks outstanding is via the CA at the relevant education district office.
