1. The Directorate: Institutional Management and Governance Planning [IMGP] will host two (2) SGB Conferences during November 2011. All school principals and the chairpersons of SGBs are invited to attend the conferences.

2. Two conferences will be held in the Western Cape for the schools in the following districts:

  • The 4 Metropolitan Districts and West Coast District at the Main Hall of the Oude Molen Academy of Science and Technology, Jan Smuts Drive, Pinelands, Cape Town

    Date: 19 November 2011 Time: 8:30 - 15:00

  • Eden & Karoo, Cape Winelands & Overberg at the Main Hall of the Avian Park Primary School, 100 Albatros Street, Avian Park, Worcester

    Date: 26 November 2011 Time: 08: 30 - 15:00

Please note that members of the SGBs can only attend the conference, arranged for their respective district.


3. The SGB Conference aims to promote a reclaiming and restorative approach to challenging behaviour by exposing SGBs to mechanisms, interventions and developmental programmes for dealing with challenging behaviour in schools.

4. This conference will also present the members of the SGBs with an opportunity to develop social capital as they establish networks among themselves in the districts, which could act as support structures for them.

5. School principals and SGB chairpersons are requested to travel together when attending the conference. Principals will be reimbursed for travel expenses where the distance travelled exceeds 100 km in one direction. In order to claim for travel expenses, the attached 'Subsistence and Transport' and Z43 forms must be handed in at the conference. Claims found to be incomplete or inaccurate shall not be paid.

6. In the event of the school principal not being able to attend the conference, but the SGB chairperson does attend, the school is requested to cover the cost of the travel and to provide the Directorate: IMGP with proof of payment for reimbursement to the school immediately after the conference.

7. Where the SGB chairperson travelled alone to the Conference and the distance exceeds 100 km in one direction, the Directorate: IMGP will reimburse the school upon receipt of the following verified documents:

  • An original letter [not a copy] displaying the letterhead of the school and signed by both the principal and treasurer, informing the WCED of the total cost for travel that was incurred by the school; and

  • the original cashed cheque issued to the SGB chairperson [and stamped by the bank],

    OR

  • the original cash voucher for a cash payment made to the chairperson and signed by the persons authorised to do so, plus the original receipt(s) made out to the school for the cash received and signed by the chairperson.

NB: Schools need to keep copies of all documents for reference and audit purposes.


8. Accommodation will only be provided for principals and SGB chairpersons who have to travel more than 200 km in one direction. Principals and chairpersons who will require accommodation need also to complete part B of the attached form. The information regarding accommodation is being requested well in advance to ensure availability. Requests for accommodation must be received before 31 October 2011. It can be faxed to Ms Zoliswa Lonja at 0865478758. An email to confirm accommodation will be sent to each delegate requesting accommodation.

9. Persons/schools intending to attend the SGB conference must complete part A of the attached form and fax it to Ms Zoliswa Lonja at 0865478758, before 31 October 2011. The information is required well in advance to determine and manage the logistics for the event and to plan for a successful conference.
