1. As with all examinations, it is of crucial importance that all question papers and memoranda are safe-guarded to protect the legitimacy of the common examinations.
2. One CD, containing the question papers for all examinations, and another CD, containing the marking memoranda, will be delivered to National Strategy for Learner Attainment schools and schools at risk at least 7 days before the start of the examinations.
3. Principals will be provided with a code to access both CDs. It is advisable for only the principal to print the master copies from the CD, so that subjects not applicable to the school are not at risk.
4. The timely production of hard copies of the question papers will be the responsibility of the principal. (Ensure that your printing machinery is in working order.)
5. All safety precautions must be taken with both the printing and storage of the question papers. (In this regard, please consult Invigilator's Manual 2008, which was issued to principals.) All staff must be made aware that there is nothing to be gained by anybody if the security is breached in any way. These examinations are an opportunity for learners and teachers to assess the level of readiness of the candidates for the final examinations.
6. Please check the question papers and arrange them chronologically in your safe according to the timetable.
7. The principal is responsible for issuing the correct question paper according to the timetable.
8. Each memorandum must be made available to teachers only after the paper has been written.
9. To prevent irregularities in connection with the safe-keeping of question papers, mark sheets, answer books and stationery, the principal or centre manager must ensure that these items are stored in a safe or strongroom.
10. The principal is solely responsible for the safe-keeping of the keys to the safe or strongroom. This also applies in cases where a school's question papers, mark sheets, answer books and stationery are stored at another school or institution. The IMG adviser must ensure that this instruction is meticulously followed.
11. Under no circumstances may question papers be removed from the school before or during examinations. Arrangements must be made by the principal for the unlocking of the strongroom and for the observing of all other security procedures related to the examination question papers.
12. The safe-keeping of question papers cannot be overemphasised and it is therefore imperative that every precaution be taken when working with the CDs or when storing question papers.
