1. The Directorate: Institutional Management and Governance Planning [IMGP] is planning to hold school governing body (SGB) conferences in September 2009. School principals and chairpersons of SGBs are cordially invited to attend these conferences.
2. Three conferences will be held for Western Cape schools in the following districts:

  • Cape Winelands & Overberg in the Main Hall of Boland College, Rainier Street, Worcester,
    Date: 12 September 2009 Time: 8:30 - 15:00;
  • Eden & Central Karoo in the Main Hall of Outeniqua Primary School, Cathedral Street, George,
    Date: 19 September 2009 Time: 8:30 - 15:00;
  • The 4 Metropolitan Districts and West Coast District in the Sports Hall of Western Cape Sport School, Nooiensfontein Road, Kuils River (Metro East District),
    Date: 10 October 2009 Time: 08: 30 - 15:00.

Please note that SGB members may attend only the conference arranged for their particular education district.

3. School principals and SGB chairpersons are requested to travel together to attend a conference. Principals will be reimbursed for travel expenses where the distance travelled exceeds 100 km in one direction. In order to claim for travel expenses, the 'Subsistence and Transport' and the Z43 forms must be completed and submitted at the conference. Claims found to be incomplete or inaccurate shall not be paid.
4. In the event of a school principal not being able to attend the conference, but where SGB chairperson does attend and the distance travelled exceeds 100 km in one direction, the school is requested to cover the cost of travel and then to submit the following documents to the Directorate: IMGP so that the school can be reimbursed:

  • An original letter [not a copy] displaying the letterhead of the school, signed by both the principal and school treasurer, informing the WCED of the total cost for travel incurred by the school;
  • The original cashed cheque issued to the SGB chairperson [and stamped by the bank],

    OR

    The original cash voucher for a cash payment made to the chairperson and signed by the persons authorised to do so, plus the original receipt(s) made out to the school for the cash received and signed by the chairperson.

N.B. Schools must keep copies of all documents for reference and audit purposes.

5. Accommodation will be provided for only those principals and SGB chairpersons who have to travel more than 200 km in one direction. Principals and chairpersons who will require accommodation must complete Part B of the attached form. The information regarding accommodation is being requested to ensure availability. Requests for accommodation must be received before 8 September 2009. Such request must be faxed to Mr Ryan Erasmus at 021 467 9385. An e-mail to confirm accommodation will then be sent to each delegate who requested accommodation.
6. Persons intending to attend one of the SGB conferences must complete Part A of the attached form and fax it to Mr Ryan Erasmus at 021 467 9385 before 8 September 2009. The information is required to enable the WCED make arrangements for successful conferences.
