1. COMPLETION OF MARK SHEETS
1.1 The computerised mark sheets for school-based assessment (SBA) for all subjects, as well as the appropriate control lists, are attached. Principals must ensure that they have received all the required mark sheets.
1.2 Note that only one copy of each mark sheet is provided for completion. It is vital, therefore, that copies of the moderated mark sheets are made by the school as well as the Assessment Coordinator and kept for record purposes.
1.3 Please ensure that the mark sheets for moderation are completed and available to the curriculum advisers on the day of moderation. Subject teachers must fill in only the unmoderated mark in the "Mark" column.
1.4 Only after final moderation of each subject, may moderated marks be transferred to the "Mod" column on the SBA mark sheets by the curriculum adviser.
1.5 Should your school receive the computerised SBA mark sheets only after the moderation process, the necessary arrangement must be made with the curriculum adviser for the completion of the mark sheets.

2. AWARDING OF SBA MARKS

A mark must be awarded to each candidate whose examination number appears on the mark sheet. This also applies to candidates who:

  • were expelled or temporarily suspended from school;
  • have applied for a change of centre;
  • were absent for a prolonged period during the year;
  • were absent on the day of moderation;
  • were registered for a subject at another school or centre, e.g. an art centre.

3. MARKS OUTSTANDING (CANDIDATES WHO WERE ABSENT AND THOSE WITH NO SBA MARKS)
3.1 Refer to Assessment Management Minute 0014/2009 for information on candidates who have not satisfied the requirements for SBA in full.
3.2 The following is emphasised regarding the completion of the mark sheets (Annexure A):
3.2.1 If the candidate did not complete any SBA components, but a valid reason was provided, fill in "999" on the mark sheet.

IMPLICATIONS OF "999":

  • Candidate will receive an incomplete result (even though the theory paper has been written);
  • Candidate with "999" will be given 3 calendar months after the release of results to submit the SBA marks. Failure to do so will result in the candidate having to repeat the entire subject.
3.2.2 If the candidate did not complete any SBA components and no valid reason was provided, fill in "444" on mark sheet. Such a candidate will receive an incomplete result and must repeat the entire subject.
3.2.3 Where an approved subject change is not reflected on the mark sheet, fill in "888" in the 'Mark' column. Complete a new Annexure B for each subject.
3.2.4 If the candidate has completed all CASS tasks, but all the work submitted was worth a zero (0), award 001 for the work.

4. CANDIDATES WITH SPEECH AND/OR HEARING BARRIERS

Candidates with speech and/or hearing barriers must, in lieu of the oral mark, receive a pro rata mark based on the marks they scored in their written work for the June and September 2009 examinations.


5. RESPONSIBILITY OF PRINCIPALS REGARDING COMPLETION OF MARK SHEETS

Principals must ensure that all the National Senior Certificate candidates in their schools have been given the required SBA marks.


6. RETURN DATE

Assessment co-ordinators must ensure that the completed mark sheets reach the Directorate: Examinations Administration by 30 October 2009.


7. SBA MARKS OUTSTANDING

Principals are requested not to refer candidates without SBA marks directly to the Department after the release of results. The correct procedure is to approach the Department via the relevant curriculum adviser at the education district office.
