1. The restructuring of the WCED, which came into effect on 1 October 2007, has resulted in the creation of new directorates and district offices.
2. The amendments to the WCED's organogram may lead to files having to be moved from one registry to another.
3. In respect of the transfer of files from one registry to another, you are referred to the measures contained in paragraph 7.3 of the Registration Procedure Manual, which determine that when records are being moved permanently from one registry to another, the office that wishes to send the records must first inform the National Archivist accordingly. Complete lists of the records involved must be submitted to the Directorate: Procurement Management (attention: Mr JT Solomons) for checking, in either alphabetical or numerical order. After the checking, your request will be forwarded to the National Archivist for approval.
4. Furthermore, no records may be transferred until the National Archivist has approved the transfer.
5. All heads of offices must please ensure that requests for the transfer of records are sent to the above directorate timeously for checking.
6. When the transfer of records is being considered, it also creates the opportunity to give attention to the disposal and destruction of records. You are again reminded of the fact that all A20 files that were created 20 years ago can now be permanently transferred to the Archive. All other A20 files that were created less than twenty years ago, but which have fallen into disuse as a result of the new dispensation must still be kept.
