1. The computerised mark schedules for site-based assessment are enclosed for completion by curriculum advisers in their respective learning areas.
2. Each mark schedule consists of an original and three carbon copies. After the moderation process has been completed and the mark entered on the computerised mark schedule, the two bottom carbon copies must be removed. One of these copies is for the centre's records and the other is for the records of the district office.
3. Please use the enclosed control list in order to identify the centres and to ensure that all mark schedules are submitted to the Department.
4. Note that curriculum advisers are responsible for
  • the moderation of the site-based assessments in their learning areas, and
  • submitting the mark schedules to the Directorate: Examinations.
5. The following procedure must be followed when completing mark schedules:

5.1 The learners' individual marks must be indicated in the appropriate column by means of three digits, e.g. 013, not 13.
5.2 Under no circumstances may a learner's marks be omitted. A mark must be awarded to each candidate whose assessment number appears on the mark schedule. This also applies to learners who
  • have applied for a change of centre,
  • were absent for a long period of time during the year, and
  • were absent on the day of moderation.
5.3 In cases where learners have submitted portfolios for an examination which precedes the current one, centre managers are to ensure that the CASS marks obtained in the learning area are reflected on the current mark sheet.
5.4 Only in cases where there are no marks available for a learner must 999 (absent) be entered on the mark sheet. These learners will not receive a result in the learning area. A zero (000) mark is awarded only when a learner has submitted work that is not worth any marks.
5.5 "TOTAL" (bottom of mark sheet) is for office use only.

6. Curriculum advisers are requested to ensure that the completed mark schedules (original and copy) reach the Directorate: Examinations, For attention: Messrs L. van Gensen / C. Slee, Western Cape Education Department, Room 529 (5th Floor), Grand Central Towers, Lower Parliament Street, Cape Town, 8001 by Monday, 2 June 2008.
