1. The preliminary list of full-time and/or ABET candidates entered at your school or centre for the 2007 Senior Certificate Examinations is enclosed and must be carefully checked. The details of each candidate's entry appear on these printouts. Owing to the entry of invalid subjects or incorrect subject codes, some schools will also be provided with a list of candidate entries that have not been transferred from the Central Education Management Information System (CEMIS) to the Examinations System. These candidates will not appear on the preliminary list. You are therefore kindly requested to check the particulars of all candidates and then to
  • correct the details of full-time candidates directly on the CEMIS and

  • correct the details of ABET candidates in red on the enclosed list.

2. This Examinations Minute must be read together with Circular 0013/2004, dated 5 March 2004, and the following is again emphasized:

(a) The closing date for applications for a change of subject grades in exceptional circumstances was 30 April 2007. However, owing to adjustments on the CEMIS, this date has been changed to 25 May 2007.

You are therefore requested to make such grade changes directly onto the CEMIS. Kindly note that the CEMIS will be closed to any further changes after 16:00 on 25 May 2007.

(b) Candidates who change a subject or grade illegally will be referred to the Irregularities Committee for a decision on the releasing of the relevant results.

3. The following particulars for every candidate must be checked for correctness against the records of the school, and the details confirmed by the candidate:
3.1 Personal details: identity number, date of birth, gender, spelling of first names(s) and surname (Please ensure that where candidates have diacritics in first names or surname, e.g. ê, ë or é, that this is clearly marked.), address, telephone number, language preferred on certificate, language medium, as well as the candidate's immigrant status, where applicable. (Please confirm that the information on Annexure A is correct. [These documents are not attached but were posted to schools.] )  Where the candidate's immigrant status is not indicated, then the reference number and the date of the Department's letter of approval for the language exemption must be entered in the appropriate column.

N.B.: CERTIFICATES ARE PRINTED ONLY IN ENGLISH, AFRIKAANS AND ENGLISH, AND XHOSA AND ENGLISH.

3.2 Care must be taken to ensure that the letter M appears in the "MT" column for candidates who have been granted exemption from the requirement of having to pass or having to offer an official second language. Please enter the R-deaf and S-blind indicators in the "MT" column in respect of such candidates.
3.3 Check the correctness of all subjects and grades. Any changes in respect of subjects or grades or both must be indicated by deleting the entire subject(s) or grade(s), or both. The correct subject(s) and/or grade(s) must be written neatly under the words "Number of Subjects". All changes for ABET candidate must be indicated in red only.
3.4 The numbers under the heading "For Head Office use only", "Previous examination number" and the "Entry number" on the print-out must be ignored as these are only for Departmental use.
3.5 Each candidate's entry on the print-out will have a Senior Certificate or matriculation endorsement indicator:
  • If a candidate offers a course for a Senior Certificate without matriculation endorsement, his or her record will show "SC".

  • If a candidate's subject choice is that of a course for Senior Certificate with matriculation endorsement, his or her record will show "SC/M".

  • In the case of a candidate not fulfilling the required subject choice for matriculation endorsement, the exact requirement(s) will be indicated by an "Error report".

N.B.: ALL ENTRIES ARE CHECKED AGAINST THE REQUIREMENTS FOR MATRICULATION ENDORSEMENT.

4. The details printed on the print-out will be used for the purpose of processing the results, printing of certificates, etc. It is therefore imperative that each candidate's record should be carefully checked at this stage to eliminate errors in the processing of the examination results. No changes (ID numbers, names, etc.) will be made to certificates once they have been issued.
5. As regards ABET candidates, should no errors appear on the printout, centre managers must, nevertheless, confirm in writing that the details on the schedule are correct in every respect.
6. Principals must ensure that all changes in respect of full-time candidates are made only on the CEMIS. Annexure B ("Confirmation of Corrections") must also be completed and sent to the Department by 25 May 2007.
7. If the principal or centre manager has objections to a candidate writing the Senior Certificate examination, he or she should set out his or her objections in full in a letter to the Department. Your attention is also drawn to Circular 0026/2000, dated 18 February 2000, and Circular 0121/2003, dated 13 May 2003.
8. Principals and centre managers are kindly requested to make the necessary arrangements with Skynet Couriers (telephone no. 021 531 9191) to collect the corrected schedules in order to reach the Department by 25 May 2007 at the following address:
