1. During 2005, inventories of your components were submitted with the intention that they be signed off by you as the custodian. It may be that you were not available at the time and another staff member signed off the inventory on your behalf.
2. When a custodian signs off an inventory, it is confirmed that
2.1 all items reflected are actually existing items and that the description and quantity are correct.
2.2 all the items listed are state property.
2.3 the custodian takes responsibility for the use and safekeeping of the items.

3. These inventories form the basis of the stocktake that is in progress.

4. If you have not personally signed off the inventory for your office (a copy of the inventory will be behind the office door), please check the list and verify whether all items are indeed listed. Please sign the inventory and forward a copy thereof to Mr Des Scholtz (Asset Manager), Room 609, Grand Central Towers.
5. Directors must verify with their deputy directors that they have understood the implications when they signed off the inventories for their cellular and open plan offices.
6. Thank you for your co-operation.
