The preliminary schedule of entries in respect of Full-time and/or ABET learners entered at your school for the 2006 Senior Certificate examination are enclosed and must be carefully checked. The details of each learner’s entry are reflected on these printouts. Should there be any learner erroneously registered this must be indicated in red on the print-out. Some schools are provided with a list of learner entries that have not been transferred from the CEMIS system to the Examination System due to invalid WCED subject codes. These learners will not appear on the Preliminary Schedules. You are therefore requested to complete the attached entry form in respect of these learners. (Kindly make extra copies should additional forms be required)

The Examination Minute must be read together with Circular 0013/2004, dated 5 March 2004 and the following is again emphasized:
(a) |
Your attention is drawn to the fact that the closing date for applications for change of subject grades having exceptional circumstances, has expired on 30 April 2006, but due to the implementation of the Cemis System with regards to registration of learners, the date has been postponed until 22 May 2006.

(b) |
Learners who change a subject or grade illegally will receive no result in the specific subject. The procedure applied in the past to hold the results of these learners back for 14 days, has been abolished.
|
They will, however, be permitted to register for the subject/grade of their choice in the February/March supplementary examination.

The following particulars with regard to every learner must be checked for correctness against the records of the school and the details as confirmed by the learner:

3.1 |
Personal details: Identity number, date of birth, gender, spelling of first names(s) and surname (Please indicate any learner with diacritics on name/surname e.g. ê, ë or é on the attached Annexure A), address, telephone number, language preferred on certificate, language medium, as well as the learners’ immigrant status where applicable (Please indicate on the attached Annexure B). Where the ID number does not appear on the schedule and the school had supplied the ID number, a copy of the ID document must be attached.
NB: CERTIFICATES ARE PRINTED ONLY IN ENGLISH, AFRIKAANS/ ENGLISH AND ISIXHOSA / ENGLISH

Care must be taken to ensure that the letter M appears in the “MT” column for learners who have been granted exemption from the requirement of having to pass or having to offer an official Second Language. If a learner’s immigrant status is not indicated, the reference number and date of the departmental authorisation for language exemption must be quoted in this column. Please insert the R-deaf and S-blind indicators on the “MT” column in respect of such learners.

Check the correctness of all subjects and grades. Any changes in respect of subjects or grades or both must be indicated by deleting the entire subject(s) or grade(s) or both. The correct subject(s) and/or grade(s) must be written neatly under the wording “Number of Subjects”. All changes must be indicated in red only.

The number under the heading “for Head Office use only”, “Previous examination number” and the “Entry number” on the print-out must be ignored as this is only for Departmental use.

Each learner’s entry on the print-out will have a Senior Certificate or matriculation endorsement indicator:
If a learner offers a course for a Senior Certificate without matriculation endorsement, his or her record will show “SC”.
If a learner’s subject choice is that of a course for Senior Certificate with matriculation endorsement, his or her record will show “SC/M”.
In the case of a learner not fulfilling the required subject choice for matriculation endorsement, the exact requirement(s) will be indicated by an “error report”.
NB: ALL ENTRIES ARE CHECKED AGAINST THE REQUIREMENTS FOR MATRICULATION ENDORSEMENT.

The details printed on the print-out will be used for the purpose of processing the results, printing of certificates, etc. It is therefore imperative that each learner’s record should be carefully checked at this stage to eliminate errors in the processing of the examination results. |

Should no errors appear on the printout, principals/centre managers must nevertheless confirm in writing that the details on the schedule are correct in every respect.

If the principal/centre manager has objections to a learner writing the Senior Certificate examination, he/she should set out his/her objections in full in a letter to the Department. Your attention is also drawn to circular 0026/2000 dated 18 February 2000 and 0121/2003 dated 13 May 2003.

Principals/centre managers are requested to please make the necessary arrangements with Skynet Couriers (telephone no. 021 531 9191 or cellphone no. 0832731997) to collect the corrected schedules in order to reach the Department not later than 22 May 2006, at the following address: For Attention Mr. F. EMDC Directors and Circuit Managers are requested to ensure that the return date for these corrections is adhered to.
