1. This examination minute must be read with examination minute 50/2004 from paragraph 3.3.2 to paragraph 3.3.4.
2. This year SKYNET COURIERS, will deliver once again question papers and mark sheets in three consignments to examination centres. The question papers and mark sheets for the first and second week of the examination (10 October - 26 October 2005) regarding the first consignment, will be delivered to schools in the rural areas as well as the urban areas from the 3rd of October until the 5th of October 2005. The question papers and mark sheets for the third and fourth week of the examination (27 October – 95November 2005) regarding the second consignment, will be delivered to schools on the 19th of October until the 21st of October 2005. The question papers for the last two weeks of the examination (10 November – 23 November 2005) regarding the third consignment will be delivered to schools on the 2nd of November until the 4th of November 2005.
3. On the delivery of the question papers and mark sheets, principals must ensure that they have received the correct number of boxes and sign for receipt of them on the delivery note. These boxes may only be opened for the first time in the presence of the Circuit Manager, Principal and Chief Invigilator. The circuit manager must report any shortages of question papers and may do so by contacting mr. C.A. Berry at the above-mentioned telephone number.
4. In order to adhere to the safe-keeping of question papers, principals are therefore requested to complete the attached checklist in each consignment, in the presence of a departmental official/chief invigilator and fax it before the commencement of the examination to the number provided.
5. To prevent irregularities regarding the safe-keeping of question papers, mark sheets, answer books and stationery, the principal must ensure that these items are stored in a strongroom. The Grade 12 Question Papers must be stored seperately from the Abet L4 Question Papers in the strongroom.
6. The principal is solely responsible for the safekeeping of the keys. This also applies in cases where a school’s question papers, mark sheets, answer books and stationery are stored at another school or institution. The circuit manager must ensure that this instruction is meticulously adhered to.
7. Under no circumstances may question papers be removed from the school before or during the examinations. Arrangements should be made between the principal and the chief invigilator regarding the unlocking of the strongroom and other security matters related to examination papers.
8. The safe-keeping of question papers cannot be overemphasized and it is therefore imperative that every precaution be taken in the storage of question papers.
