1. The enclosed revised letterheads display the logo in respect of South Africa’s 10 years of democracy and will be used from now onwards until 30 April 2005. After that the ordinary letterheads will be in use again.
2. Example 1 must be used for ordinary letters. Examples 2 to 4 must be used for circulars. The Ministerial letterheads are for the exclusive use of the Office of the Minister.
3. EMDC Directors must please ensure that personnel register the format on their computers after it has been amended in accordance with the following guidelines to reflect the particulars of individual EMDCs:
4. Guidelines
4.1 No additional logos may be inserted on the letterhead.
4.2 The language sequence for all letterhead information remains Afrikaans, English, Xhosa.
4.3 The name and postal address of the EMDC must appear at the bottom of the letterhead page. Only page 1 of all documents is a letterhead page. The address must be given only in Afrikaans and English as the automatic address readers of the Post Office can interpret only these two languages.
4.4 The text will not print closer than 1.2 cm to the footnote of the letterhead.
4.5 The pages following the letterhead page will be numbered automaticaaly from 2.
4.6 The text on the page on which the letterhead appears will be fully justified.
4.7 The following must be filled in on the top left of the letterhead page:
4.7.1 The title, initial(s) and surname of the person to whom enquiries may be directed
4.7.2 The above person's telephone and fax numbers
4.7.3 The file reference number
4.7.4 The reference number of the Issue Management System (IMS)
4.8 The Times New Roman font (pitch size 8) must be used when the standard letterhead is adapted. The Arial font must be used for the body of the letter. Margins must not be changed.
5. The date appears below the official title of the person who signs the document and that person must write it in by hand.
6. Letters from Head Office are normally signed by or on behalf of the HEAD: EDUCATION and letters from an EMDC by or on behalf of the EMDC Director.
7. The prescriptions in this minute must be adhered to strictly.
8. Please bring the contents of this minute to the attention of all members of personnel.
