1. I refer to Circular Minute LS/0008/2001 of 17 July 2001 in the above regard.
2. Despite the fact that registered IMS users have been trained and retrained, the following problems are still experienced by system administrators and users:
2.1 USERS WHO HAVE RECEIVED TRAINING

The current statistical reports reveal that some trained users do not use the system regularly or properly, e.g. with the updating of the progress that was made with a specific case and the entering of dates of finalisation. It seems as if users do not enter the date on which an issue has been solved. This has a detrimental effect, not only on the statistics reflected on the IMS, but also on users who utilise the system optimally and properly.

2.2 TRAINING AND RETRAINING OF NEW USERS

It is difficult to schedule training or retraining for users in some components since these users have indicated that they do not have time available. This causes blockages on the system and also confusion for other users because, although the users are registered on the system, no issues can be logged to them until they have received training.

2.3 REPORTING OF PROBLEMS

Problems which are experienced with the system are not reported to the systems administrators soon enough or at all.

3. In view of the above an urgent appeal is made to you to contact the IMS Administrators before 27 September 2004 to report all problems experienced with the IMS and to indicate the training needs of the registered users within your component.
4. As soon as this information has been received, the necessary arrangements will be made by the system administrators to satisfy users' needs.
5. The particulars of the IMS administrators are as follows:
Ms Marlene Erasmus, Chief System Administrator
Telephone: 021 467 2765
E-mail: Marlene Erasmus (merasmus@pgwc.gov.za)
Ms Charmaine Currie, Assistant System Administrator
Telephone: 021 467 2757
E-mail: Charmaine Currie (ccurrie@pgwc.gov.za)
6. We rely on your co-operation.
