1. Irrespective of the natural concentration of documents around specific dates, such as the start of the school year, there has been a tendency that personnel who are going on leave and who wish the documents to be waiting for them, edited and translated, on their return in early January, submit documents to the Language Service in December. This means that language specialists responsible for editing and translating a document are unable to consult the personnel member concerned about aspects of the document and that undue pressure is put on the Language Service when some of its members are also on leave.
2. It has therefore become necessary for the Language Service to request that the following documents for distribution to schools for the start of the new school year be submitted by no later than 15 November of the previous year:
2.1 Any document which is more than 2 pages in length and requires editing in more than one language and translation into another language/other languages
2.2 Any document which is more than 10 pages in length and requires editing in more than one language
3. Any documents such as those mentioned above, received after 15 November, will not be given priority and will be dealt with in accordance with normal procedures.
4. Where possible, the translation of documents into Afrikaans/English/Xhosa must be undertaken by the members of the directorate or section concerned, as they are more familiar with the specific terminology. The original document could be submitted to the Language Service for editing before translations are undertaken, and all three language versions could then be submitted for final editing and aligning.
