1. This circular must be read in conjunction with Circular 0036/2001, dated 23 March 2001.
2. Previously it was a requirement that logsheets of Government vehicles be submitted to Government Motor Transport (GMT) in Cape Town. This is no longer a requirement as the kilometres travelled are obtained by means of the vehicle tracking system. The logsheet is, however, an important tool to control and verify the kilometres travelled against those registered by the tracking system. It is also an important tool to plan future usage in terms of budgetary constraints.
3. It will, therefore, be appreciated if the original logsheet (top copy) would be retained by district offices and the second copy (yellow copy) submitted to Head Office (For attention: Mr JG Heath, Room 609) under cover of the attached form. The other copies can be left in the logbook. It is still absolutely essential that all the fields on the logsheet are completed. Refuelling slips (e-fuel slips) must be retained in the logbook and stapled to the logsheet for the relevant month.
4. District offices are advised to maintain a database of kilometres travelled by each vehicle in the district so that the GMT account can be verified against the database. These accounts will be submitted each month to district offices to be certified as correct. Head Office will do the same in respect of its allocated vehicles.
