1. With the increased use of GG vehicles by officials, it has become necessary to remind users of their responsibilities, in terms of the Transport Circular No. 4 of 2000, when using GG-vehicles.

2. Booking of a GG-vehicle for official journeys

A GG vehicle must be booked at least 24 hours before the trip is made by completing the National Trip Authorisation Form and having the trip approved.


3. Roadworthiness
3.1 We intend improving the condition of GG vehicles. Thus, to ensure that each vehicle is in a sound condition, it is essential for the driver to perform an inspection of the vehicle before using it. Should there be damage or mechanical problems with the vehicle, the driver must report it immediately. Should any damage, loss or theft not be reported, then the last driver to use the vehicle concerned will be held responsible.
3.2 It is important, when collecting a vehicle at the GMT “Top Yard”, that the user draw the attention of both the issuing official, as well as the security official, to any defects in the vehicle by completing the reverse side of the Trip Authorisation Form (Z606).
3.3 Carefully check the vehicle for the following defects:
  • Dents, scratches, cracked windows, smooth tyres, and oil- and water spills under the vehicle
  • Lights and brakes (including the handbrake) not in working order
  • Ineffective safety belts
  • No valid licence disc
  • No spare wheel, jack or wheel spanner
If the vehicle is unsafe to drive, refuse to drive it and request the transport officials to issue another vehicle.

4. Maintenance
4.1 Any defect on the vehicle must receive immediate attention to prevent further damage. The defective vehicle will not be issued until the defect have been attended to.
4.2 Maintenance of GG vehicles takes priority over the use of the vehicles. Therefore, maintenance will not be delayed because of a shortage of vehicles.

5. Cleanliness and neatness
5.1 Smoking is not permitted in GG vehicles.

5.2 Drivers, in consultation with the transport officials, must ensure that vehicles are kept clean and neat, both inside and out. All empty bottles, empty cans, discarded lunchboxes, work documents, etc. must be removed from the vehicle when it is returned.

6. Accidents
6.1 An accident involving a GG vehicle must be reported within 24 hours to the South African Police Services and the relevant transport official.
6.2 The driver must
  • not admit liability to any person;
  • contact Nedfleet (tel. no.0800 500 005 or 0800 100 3538) to have the vehicle towed, if required;
  • obtain a police case number within 24 hours; and
  • complete the accident report form (Z181), obtainable from the transport officials, and submit it, together with any relevant supporting documents (e.g. statements of witnesses, sketch of accident scene, 3 quotations for repairs), within 48 hours to the relevant transport official.
