1. In terms of Paragraph 8.1 of the Provincial Treasury’s General Practice Note 6 of 20 December 2001, a stocktaking of stores and equipment must be conducted annually at EMDCs and institutions attached to EMDCs.

2. A Board of Survey from the Provisioning component of your individual offices must therefore be appointed to do a complete stocktaking of all the furniture and equipment (including computer equipment) under your control with the aid of your 2002 inventory.

3. All the details of shortages, surpluses, redundant and unserviceable items must be recorded for audit purposes. All shortages and surpluses must be accounted for, losses must be reported to the local loss control officer and any redundancy must be declared. (The comprehensive guidelines set out in Circular 0055/2001 dated 9 May 2001 in connection with stocktaking, is still applicable).

It would be appreciated if a copy of the complete and updated inventory (computer equipment included) together with the monetary value of all items, certified as correct by you as the head of the office, is submitted to this office at the following address by no later than 31 July 2003:
