1. As Afrikaans, English and Xhosa are the official languages of the Western Cape Province, you are reminded that circulars and other communication must be sent out in these three languages.

2. You are expected to react to correspondence in the language of the correspondent. If you are therefore aware that an institution, for example a teacher’s union, has a specific language preference, you are requested to communicate with the institution in that language. If addendums are attached to the correspondence (also circulars), they must preferably also be in the language of the correspondent. However, in cases where addendums have been drawn up by other institutions and are not available in the language of the correspondent, they may be attached as they are. However, you should apologise because they have not been translated (for example, as a result of the time factor).
